CHURCH ADMINISTRATOR
Job Grade E1

The Church Administrator will work with Pastors, Ministry, Staffing, and other committees to administrate the business of the church and to help guide, direct and manage the critical functions to meet the church’s long-term goals.
Description and Responsibilities: The Church Administrator reports directly to the Senior Pastor and will be responsible for the following areas, as well as other tasks as assigned by the Senior Pastor:

LEADERSHIP AND SUPERVISION
1. Attends and participates in LCEC, Stewardship & Finance, Staffing and Property meetings and to receive direction in those areas.
2. Teams with the Senior Pastor to guide, direct and manage the Church staff functions and ensure efficient administrative services for members of the Church.
3. Coordinates planning and execution of plans and programs approved by LCEC.

FINANCE & HUMAN RESOURCES
1. Ensure financial and other transactions are accurately reflected in the various accounts and records of the Church.
2. Oversees the hiring process for all Church and Kindergarten staff.
3. Ensures appropriate job descriptions are in place for each position in the church. Evaluates and revises job descriptions as needed.
4. Monitors the performance of all personnel and coordinate the job performance evaluations annually.
5. Develops employment policies and procedures.
6. Develops compensation plans in cooperation with Staffing.
7. Orients new employees in the area of human resources and policies.
8. Maintains personnel files.
9. Responsible for payroll.
10. Recruits, trains, encourages and mentors the church staff.
11. Provides oversight and direction to the Finance Team.
12. Controls all spending and ensures that spending stays within the budget.
13. Ensures the timely and accurate counting, recording and banking in of collections including open offerings, special offerings, pledges and donations.
14. Signs and reviews checks for all payable items in coordination with the Accounting Clerk.
15. Coordinates electronic funds transfers.

MEMBERSHIP RECORDS & SERVICES
1. Ensure the accurate maintenance of all membership records and the regular publishing of a Church Member Directory.
2. Oversee the coordination of baptisms, weddings, wakes and funerals.
3. Oversee attendance to requests for transfer of membership.

COMMUNICATION & IT
1. Oversee the maintenance of the ChurchTrac Membership Software.
2. Works with Communication Committee to provide timely and accurate communication materials with the congregation.
3. Responsible to ensure weekly church bulletin are printed accurately on timely basis.
4. Coordinates the work of the IT Committee to support servers, computers, and other technology.
5. Manages daily computer issues and is responsible for the fire alarm system, closed circuit camera (CCTV) system, and phone system.

FACILITIES & BUILDING AND GROUNDS
1. Building and Maintenance
a. Oversees building maintenance of the Church.
b. Ensure building insurance policies are in place.
c. Ensure efficient booking of meeting rooms and rooms/ apartments in Menara Wesley.
d. Looks into cleanliness and security as well as pest control matters of the Church.

KINDERGARTEN
1. Attend to operational matters concerning the Kindergarten.
2. Attend to HR related matters concerning the Kindergarten.
3. Manage and oversee the financial and administrative matters of the Kindergarten including the renewing of licenses and teaching permits.
Qualifications:
1. Possess a personal belief in the Lord Jesus Christ as Savior.
2. Be in agreement with Senior Pastor’s stated mission and goals.
3. Minimum 5 years of supervisory experience in a similar environment.
4. College/ University degree preferred.
Skills, Knowledge & Abilities:
Skills needed include organizing, delegating, and supervising; evaluation effectiveness of existing methods and procedures; operating a variety of office equipment and computer programs.
Knowledge needed of organizational policies, procedures and systems; computer systems and applications; business office processes, including general accounting principles; able to prepare effective and understandable documents and correspondence.

1. Basic Degree / Secretarial/Administrative experience
2. Good command of written and spoken English
3. Working understanding of Chinese & Bahasa Melayu would be an advantage
4. Proficient in Microsoft Word, Microsoft Excel and Microsoft Powerpoint
5. Knowledge in Database Management
6. Good presentation and communication skills

The Accounts & Finance Supervisor is to manage and motivate a team consisting employees and volunteers cohesively to effectively deliver quality accounting and financial management services in supporting and fulfilling the missions and work of Wesley Methodist Church Kuala Lumpur.
JOB DESCRIPTION
• Responsible for the overall accounting function of the Church
• Contribute to the establishment of and compliance with payment policies and guidelines as issued by the Stewardship & Finance Committee (“S&F”) of the Church
• Manage the use of the Church Accounting System to ensure the functions are maximized for optimum efficiency and control/security
• Look into the use of online payment systems for optimum efficiency and time saving
• Oversee budgetary and cost controls and approve payment related documents within parameters
• Ensure payments are processed accurately and in a timely manner
• Prepare monthly accounting reports to the S&F and LCEC
• Review and verify journal entries, accounts and payroll administration
• Lead, motivate and oversee Accounts Assistant(s)
• Cross-check petty cash payments to ensure proper administration and controls
• Attend to cashflow management including management of Fixed Deposits and ensuring the best rates/tenure, etc
• Ensure tight debtors management such as collection of outstanding loans or fees (eg; kindergarten school fees)
• Maintain an accurate fixed asset register
• Attend periodic S&F meetings to contribute on matters tabled and ensure the execution of decisions made
• Review and prepare financial statements for various organisations of the Church including preparing financial statements in relation to various seminars/conferences held by the Church as well as the Kindergarten
• Liaise with internal and external auditors on accounting issues and ensure all relevant accounts/financial statements are adequately audited in a timely manner for both the Church as well as the Kindergarten

REQUIREMENTS
• Degree in Accountancy, ACCA, CA or equivalent professional qualification
• Minimum 3 years’ relevant working experience, with at least 1 year in a supervisory level
• Well versed in computerized accounting systems
• Self-starter; able to work independently as well as in a team
