Job Title : Church Administrator
Job Grade : E1
Reports to : Pastor-in-Charge

JOB OVERVIEW
Brief overview of the position:
The Church Administrator will work with Pastors, Ministry, Staffing, and other committees to administrate the operations of the church and to help guide, direct and manage the critical functions to meet the church’s long-term goals.

This position reports to the Pastor-in-Charge.

PRIMARY JOB TASKS
Responsibilities:
LEADERSHIP AND SUPERVISION
• Attends and participates in LCEC, Stewardship & Finance, Staffing, and Property meetings and to assist when necessary;
• Collaborates with the Pastor-in-Charge to guide, direct and manage Church employee functions;
• Ensures effectiveness and efficiency of administrative services for members of the Church; and
• Coordinates planning and execution of plans and programs approved by LCEC.
FINANCE & HUMAN RESOURCES
• Ensures financial and other transactions are accurately reflected in the various accounts and records of the Church;
• Oversees and participates in the recruitment process for all Church and Kindergarten employees;
• Ensures appropriate job descriptions are in place for each position in the church. Liaises with the Staffing Committee to evaluate and revise the job descriptions as and when required;
• Monitors the performance of all Church employees and coordinates job performance evaluations annually;
• Develops employment policies and procedures according to the Malaysian Labour Law;
• Develops compensation and benefits plan in cooperation with the Staffing Committee;
• Briefs new employees in the area of human resources and policies;
• Maintains personnel files;
• Process monthly payroll and ensures accurate, timely payments in compliance with the statutory requirements (EPF, SOSCO, Income Tax);
• Leads, trains, and encourages the church employees;
• Provides oversight and direction to the Finance Team on finance-related matters;
• Supports the Church operations by keeping track of the spending and ensures spending are within budget;
• Signs and reviews payment vouchers for all payable items in coordination with the Accounting Clerk; and
• Coordinates electronic funds transfers.

MEMBERSHIP RECORDS & SERVICES
• Ensure the accurate maintenance of all membership records and the regular publishing of a Church Member Directory for internal use;
• Oversee the coordination of baptisms, weddings, wakes and funerals; and
• Oversee attendance to requests for transfer of membership.

COMMUNICATION & IT
• Works with Communication Committee to provide timely and accurate communication materials to the congregation;
• Responsible to ensure weekly church bulletins are printed accurately on a timely basis;
• Coordinates with IT Committee to support servers, computers, and other technologies; and
• Manages daily computer issues and is responsible for alarm system, camera system, and phone system.

FACILITIES & BUILDING AND GROUNDS
• Building and Maintenance
• Oversees building maintenance of the church;
• Ensures building insurance policies are in place; and
• Ensures efficient booking of meeting rooms and rooms/apartments in Menara Wesley.

KINDERGARTEN
• Facilitate operational matters concerning the Kindergarten;
• Oversee HR related matters concerning the Kindergarten; and
• Manage and oversee the financial and administrative matters of the Kindergarten including the renewing of licenses and teaching permits.

QUALIFICATION & EXPERIENCE
• Disciple of the Lord Jesus Christ;
• In tune and aligned with the Church’s mission and vision;
• Minimum Bachelor’s Degree or Diploma in Administration/Human Resources or equivalent;
• Minimum 5 years of supervisory experience in a similar capacity;
• Possess strong people-oriented personality with strong leadership, interpersonal, consultative, and facilitation skills;
• Proficient in organizational policies, process, and procedures;
• Proficient in Microsoft Words, Excel and Powerpoint;
• Excellent writing and presentation skills; and
• Knowledge in Malaysian Labour Laws, general accounting principles, computer systems and applications are added advantage.

JOB DESCRIPTION

1. Provide general administrative support to the ministry team of the Church
2. Facilitation & coordination of functions in the various ministry departments of the Church
3. Maintaining up-to-date records, files & reports
4. Maintaining membership database including extracting information for purposes of directory, analysis & reporting
5. Coordinate pastoral visitation arrangements
6. Act as Lay Training Institute (LTI) Coordinator and support the LTI administratively
7. Other operational duties & responsibilities

REQUIREMENTS
1. Basic Degree / Secretarial/Administrative experience
2. Good command of written and spoken English
3. Working understanding of Chinese & Bahasa Melayu would be an advantage
4. Proficient in Microsoft Word, Microsoft Excel and Microsoft Powerpoint
5. Knowledge in Database Management

The Accounts & Finance Supervisor is to manage and motivate a team consisting employees and volunteers cohesively to effectively deliver quality accounting and financial management services in supporting and fulfilling the missions and work of Wesley Methodist Church Kuala Lumpur.
JOB DESCRIPTION
• Responsible for the overall accounting function of the Church
• Contribute to the establishment of and compliance with payment policies and guidelines as issued by the Stewardship & Finance Committee (“S&F”) of the Church
• Manage the use of the Church Accounting System to ensure the functions are maximized for optimum efficiency and control/security
• Look into the use of online payment systems for optimum efficiency and time saving
• Oversee budgetary and cost controls and approve payment related documents within parameters
• Ensure payments are processed accurately and in a timely manner
• Prepare monthly accounting reports to the S&F and LCEC
• Review and verify journal entries, accounts and payroll administration
• Lead, motivate and oversee Accounts Assistant(s)
• Cross-check petty cash payments to ensure proper administration and controls
• Attend to cashflow management including management of Fixed Deposits and ensuring the best rates/tenure, etc
• Ensure tight debtors management such as collection of outstanding loans or fees (eg; kindergarten school fees)
• Maintain an accurate fixed asset register
• Attend periodic S&F meetings to contribute on matters tabled and ensure the execution of decisions made
• Review and prepare financial statements for various organisations of the Church including preparing financial statements in relation to various seminars/conferences held by the Church as well as the Kindergarten
• Liaise with internal and external auditors on accounting issues and ensure all relevant accounts/financial statements are adequately audited in a timely manner for both the Church as well as the Kindergarten

REQUIREMENTS
• Degree in Accountancy, ACCA, CA or equivalent professional qualification
• Minimum 3 years’ relevant working experience, with at least 1 year in a supervisory level
• Well versed in computerized accounting systems
• Self-starter; able to work independently as well as in a team
